Assignments
Assignments sorts registrants into cabins, buses, small groups or anything else. Drag people into groups, keep friends together and print rosters.
Turn it on for an event under Settings > Features > Assignments. This also turns on the event's Volunteers roster.
Assignments works best on a computer. On a phone you can look but not drag.
Set up types and groups
A type is a kind of grouping, like "Cabins" or "Buses". Each type has its own groups, and a registrant can be in one group per type.
- Open Assignments and click the type menu next to the page title.
- Click New type, name it and click Create. Leave Show friend requests on to see friend icons on cards.
- Click Add Cabin (or whatever your type is called).
- Fill in the group:
- Name, like "Eagle Nest".
- Student spots and Leader spots.
- Gender: Any, Male or Female.
- Allowed Grades (none selected means every grade).
- Click Create. Repeat for each group.
Use the gear next to the type menu to rename, reorder or delete types.
Place people
The Unassigned list on the left shows everyone active on the event who isn't in a group of this type yet. Filter it by gender or grade.
- Drag a person onto a group to place them.
- Drag them back to the list, or click the x on their card, to unassign.
- Drag a group's handle to change the order. Clean Up sorts groups for you.
If a drop doesn't match the group's gender or grades, you'll see why and the person stays put. Filling past a group's spots is allowed; the bar turns red.
Friend requests
Friend requests come from the grouping request question on your registration form (map it to Cabin/Group Request; see Forms). Sign Ups matches the names families typed to other registrants.
Icons on each card:
- Green check: a requested friend is in the same group.
- Link: a requested friend is registered but in a different group.
- Question mark: a requested friend isn't registered for this event.
Hover a card to see who they asked for. Double-click a name to fix matches: confirm or dismiss suggestions, remove a link or add a friend by hand.
Auto-Assign
Let Sign Ups place people for you, then adjust by hand.
- Click Auto-Assign.
- Leave Balance gender on to keep mixed groups balanced.
- Pick one:
- Assign everyone: keeps requested friends together, then fills in by grade, gender and space.
- Friend requests only: only places people who can be grouped with a friend.
It starts as soon as you pick. People already placed aren't moved. If filters are on, only people and groups matching them are used.
When it's done, you'll see anyone it couldn't place and why (no group for their grade, no grade on file, groups full and so on). There's no undo, so use Clear All if you want to start over.
Leaders and volunteers
Switch the left list from Kids to Volunteers to drag event volunteers into leader spots. Add volunteers on the Volunteers page first.
Print
Click Print:
- Roster: checkbox lists by group, with up to 4 check columns (handy for counting kids on and off the bus).
- Assignments List: a compact list of every group.
- Allergy Report: kids with allergy or dietary notes.
- Labels: name tags from your label templates.
- Pickup Cards: VBS events only.
Clear groups
- The Clear all from group icon on a group unassigns everyone in it.
- Clear All unassigns everyone in this type. This can't be undone.
- Deleting a group or type removes its assignments.
