Finances

The Finances page is the admin view of all money tracked through Sign Ups: payments, refunds, and outstanding balances. It's a record of what your church database has collected, not a payment processor.

Finances is visible only to administrators.

What's on the page

Summary

Top-of-page totals across the selected event (or all events):

  • Total billed
  • Total collected
  • Outstanding balance
  • Refunded

Payment ledger

Every payment, refund, and adjustment in chronological order. Filter by:

  • Event
  • Method (online via your database, check, cash, etc.)
  • Date range
  • Family

Click any row to open the underlying registrant.

Common tasks

Find an unpaid balance

Filter the ledger by Outstanding, or use the Registrants page filtered to "Unpaid" or "Partial" status. The Family Portal makes follow-up easy.

Export for accounting

Use Export to download the ledger as CSV. Include the date range and event scope you want.

Record a refund

Refunds happen in your church database. After processing externally, either wait for the next sync to pick up the refund or open the registrant and record it manually so the balance reflects right away.

Sign Ups does not move money. Marking something refunded here is a record only.

Notes on data accuracy

  • The ledger reflects what's been synced from your database plus any payments recorded manually.
  • If a payment is missing, check whether the next sync has run, or trigger one manually with the Sync button.
  • Balances on the registrant's record are always derived from the ledger plus any pricing or financial aid adjustments.
