Payments
Sign Ups keeps track of what each registrant owes and what they've paid. It doesn't charge cards. Families pay through your CCB payment forms (or cash and check at the office), and Sign Ups records it.
Where payments come from
- CCB forms: when you sync, payments on your registration and payment forms are imported and matched to the person in CCB.
- By hand: cash, checks and anything paid outside CCB.
Record a payment
- Open the registrant and go to Finances.
- Click Record.
- On Add, pick the Type:
- Payment: money received.
- Discount: knocks the price down.
- Financial Aid: aid applied from a fund (pick the Fund).
- Enter the Amount, Payment Method and an optional Note.
- Click Record Payment.
The date is today. To change it, click the payment and choose Edit details.
To take one payment for several kids in a family, use Families.
Fix a payment
Click any payment on the Finances tab:
- Edit details: date, amount or method.
- Move to another registrant: for a payment recorded on the wrong person. Family members show first.
- Donate to a fund: the family chose to give it to a financial aid fund instead. Add the donor's name if you like.
- Refund to family: records money you gave back. The original payment stays, and the refund adds back to the balance.
- Delete: removes the record completely. Use Refund instead if money actually went back to the family.
If a payment came from CCB, fix it in CCB too. Otherwise it can come back the next time everything is re-imported.
Refunds
Refund the money in CCB (or hand back the check), then record it here so the balance is right:
- click the payment and choose Refund to family, or
- click Record, open the Refund tab and enter the amount.
Balances
A registrant's balance is their price minus payments, discounts and aid. The price comes from their tier or the flat fee.
- Changing a tier price or the fee changes the balance for everyone on that tier.
- Registrants imported from CCB on tiered events need a tier picked before they owe anything.
- Deposit Amount is shown to families on their portal as due at registration. It doesn't change the balance.
Common questions
A payment from CCB didn't show up. Click Sync. Payments are matched by the person in CCB, so if the registrant is Unmatched, match them first under Unmatched People.
The balance looks too high after financial aid. Check the aid was approved on a linked application. See Financial Aid.
