Registrants

Registrants is the roster for the selected event. Everyone who registered, whether from a CCB form or added by hand, is here.

Find people

  • Views across the top are saved filters. Every event starts with Active, Outstanding Balance, Paid in Full, Outstanding Forms, Completed, Needs Reminder and Cancelled (some only show on paid events or events with release forms). Views you save are shared with your team.
  • Search finds people by first name, last name or email.
  • Filter by status, balance, grade, gender, tier, forms due, allergies, last contacted, custom fields and more.
  • Click a column header to sort. Use the column button to add or hide columns.

Cancelled registrants are hidden unless you use the Cancelled view or filter by status.

A yellow Unmatched pill means the person isn't linked to CCB yet. See Unmatched People.

Mark a release form done

If the event has release forms, each one has its own checkbox column. Tick the box when a form comes in.

Open a registrant

Click a row to open the registrant on the right. The list stays usable behind it: click another name to switch, or use the up and down arrows.

At the top:

  • Status pill: change between Active, Waitlisted and Cancelled.
  • Tier pill (tiered events): pick the price tier.
  • Actions: Send reminder, Copy parent portal link, Open parent portal, Edit profile and Cancel registration.

The tabs:

  • Overview: contacts, group assignment, friend requests and the activity log. Add a Note, Phone Call or Email to the log.
  • Finances: charges, payments, aid and the balance. Click Record to add a payment. See Payments.
  • Grouping: cabin or group assignment and friend requests (when the event uses Assignments).
  • Profile: personal details, custom fields and emergency contacts.
  • Medical: allergies, dietary needs, medications and insurance.

On a computer, the balance and release form checklist sit on the right.

Add a registration by hand

For someone who registered on paper or over the phone.

  1. Click Actions > New registration.
  2. On Existing Person, search for them. Not there? Search CCB, or switch to New Person and fill in their details.
  3. Pick the Event, a Tier if it has tiers and a Status.
  4. Click Create Registration.

Registrations added here aren't sent to CCB.

Cancel a registration

  1. Open the registrant and change the status to Cancelled (or Actions > Cancel registration).
  2. Confirm.
  3. If they've paid anything, choose what happens to the money:
    • Give it back: records a refund.
    • Keep it: counts as event income.
    • Leave it for now: decide later. Finances reminds you.
  4. If financial aid was applied, choose to Return it to the fund or Leave it applied.

Cancelling also takes them out of their cabin or group.

To remove a cancelled registration completely, open Actions > Edit profile, find it under Registrations and click the trash icon. This deletes its payment history too and can't be undone.

Work with many people at once

On a computer, tick the checkboxes next to names. The header checkbox selects the current page. Then use Actions:

  • Send reminder: one email per family, picked automatically based on what they owe. See Emails.
  • Resync from CCB.
  • Print selected…

Export and print

  • Actions > Export to CSV… downloads the current view with the fields you pick, including parents, emergency contacts and CCB IDs.
  • Actions > Print outs… prints a Roster, Assignments List, Allergy Report or Labels.
  • Actions > Check-in… creates a check-in link from the current view. See Check-in.

Resync from CCB

A normal sync only imports new registrations. If a family changes an answer in CCB after they were imported, that change doesn't come through on its own. That keeps edits your team made safe.

To pull specific fields fresh from CCB:

  1. Choose who to resync:
    • one person: Actions > Edit profile > Resync from CCB
    • a few people: select them, then Actions > Resync from CCB
    • the whole event: Settings > Details > Resync from CCB…
  2. Tick the fields to refresh (grade, parent contact, medical, address, custom questions and so on).
  3. Click Resync.

Only the fields you tick are overwritten.

Common questions

Someone registered in CCB but isn't here. Click Sync. Check the event is Open and the form is attached as a Registration form. See Forms.

A registrant owes $0 on a paid event. On tiered events, pick their tier from the tier pill.

I can't find someone who cancelled. Switch to the Cancelled view.
