Set up VBS

Work through these in order. Each page is in the Sign Ups sidebar once VBS is turned on.

Schedule

Days are the columns of your schedule. Time Slots are the rotation periods each day.

  1. Go to Schedule.
  2. Under Days, click Auto-generate from event dates, or pick a date, add an optional label and click Add Day.
  3. Under Time Slots, set a start and end time and click Add Time Slot. Repeat for each rotation.

Deleting a day or time slot happens right away, with no confirmation.

Stations

Stations are where groups go, like Crafts, Games or Bible Story.

  1. Go to Stations and click Add Station.
  2. Fill in the Name, which Groupings use it, Leaders, Location, Color and Icon.
  3. Click save.

Station leaders come from the event's volunteer roster.

Use the tabs to see stations by grouping. Click + to add a grouping from here.

Groups

Groupings are age bands, like Kindergarten or 3rd to 5th. Groups are the actual crews of kids inside them, like Blue Group.

  1. Go to Groups and click + to add a grouping. Set its default capacity, leaders and grades.
  2. Click Add Group. Fill in the Group Name, Grouping, Pickup Room, spots, gender, grades and Leaders.
  3. Repeat for each group.

Leaders you add here are added to the event's volunteer roster automatically.

Select several groups to Bulk Edit their grouping, spots, gender or grades.

Put kids in groups

VBS groups are filled on Assignments, under the Groups type (it's created for you).

Drag kids into groups, or use Auto-Assign. See Assignments.

Rotations

Rotations say which grouping is at which station in each time slot.

  1. Go to Rotations. If anything is missing, you'll see Setup Required with links to add it.
  2. Pick a day tab.
  3. In each cell, pick the station for that grouping and time slot. Use Pickup Room for the end of the day.

Shortcuts (on a computer):

  • Auto-Generate fills the day with a rotating cycle. It replaces the whole day without asking.
  • Copy from a day... copies another day's rotations over this one.
  • Clear empties the day.

The header shows how complete each day is.
