Your volunteers
Volunteers > Overview lists everyone serving in the selected ministry.
Find people
- Views: All, Active, Onboarding and Needs Attention (overdue onboarding steps or follow-ups due), plus views you save.
- Search by name, email, position, service, area or group.
- Filter by status, position, service, area, birthday month, overdue steps, follow-ups due, days since last contact and your own profile fields.
- Switch between card and list view. In list view, click column headers to sort or Group by status, position, service and more.
Add a volunteer
- Click + in the filter bar.
- Search for the person by name, email or CCB ID and pick them.
- Not in Ministry Toolkit yet? Click Search CCB for "..." and pick them from CCB.
- Click Add Volunteer.
They're added as an Active volunteer right away, with no recruiting or onboarding.
For someone new who needs onboarding, use Recruiting or Onboarding instead.
Import a CCB group or saved search
- Click Actions > Import from CCB.
- Pick a group or saved search and click Import.
- Confirm.
Everyone in it becomes an Active volunteer in this ministry, which also lets them use the Serve app. People already here keep their current status. It's a one-time import.
If someone is only serving at one event, add them to that event in Sign Ups instead.
Export
Click Actions > Export to download everyone in the current view, with the fields you choose.
Change many people at once
Tick people (or Cmd-click cards) and use the bar that appears:
- Change Status: pick a new status for everyone selected, in this ministry.
- Place...: put everyone into the spots you pick.
Setting people to Inactive takes them out of all their positions and ends any group leader roles they have in this ministry. Placing an inactive person makes them active again.
A volunteer's record
Click someone to open their record. (Someone mid-onboarding opens their onboarding checklist instead, and someone on the Recruiting board opens their prospect card.)
At the top: contact info, how long they've served, how many positions and trainings. Click the pencil to edit their name, grade, gender, email or phone. These changes are saved in Ministry Toolkit and not sent to CCB.
Where they serve
- Ministries: click Add to add a ministry. Use a ministry's menu to change its status and start date, or remove it.
- Positions: click Place to put them in a spot. Click the x on a position to take them out.
- Badges: click Award to give a badge.
The start date is what serving anniversaries count from.
Follow-ups
Click Add under Follow-ups to set a reminder: pick when it's Due, what to do and the Owner. The owner gets a notification that day. Click Done when it's handled.
Trainings
Shows courses they've finished. For a training they did before you used Ministry Toolkit, click Add completed, pick the training and date and click Mark completed.
About
Answers to your profile fields. Click Edit to fill them in.
Activity
Log a note, call, email, text or meeting. Pick the date if it happened earlier and click Log.
Common questions
I removed someone from a ministry and they came back. Importing that CCB group again adds them back.
Someone isn't on Overview. They don't have a volunteer record in this ministry. Check the ministry switcher, or add them.
