Recruiting

Recruiting is a board for people you'd like to ask to serve. Move them across as the conversation goes, log every call and hand them to onboarding when they say yes.

Recruiting never contacts anyone for you. Logging a call or email just records that you did it.

Add a prospect

  1. Click Add prospect.
  2. On Link a person, search for them. Not there? Search CCB from the same box.
  3. Or, for someone not in the system, use New contact and enter their name, phone and email.
  4. Click Add prospect.

You're set as the owner.

Move people along

Drag a card to the next column. The card shows how long since you last contacted them. A red quiet tag means no contact in 7 days or more.

At the top, My prospects shows only cards you own. Filter by tag, source, owner or days since contact.

A prospect's card

Click a card to open it.

  • Owner: who's responsible. Set this before adding follow-ups.
  • Target spot: the position you're asking them about. They show as a gray avatar on Positions.
  • Source: how you found them, like "Pastor referral" or "Connect card".
  • Tags.
  • About: notes about them.
  • Follow-ups: click Create follow-up, pick a date and what to do. The owner gets a notification that day and it shows in the Follow-ups strip at the top of the board.
  • Activity: type what happened, pick Note, Call, Text, Email or Met, change the date if it was earlier and click Log.

Follow-ups go to the card's owner at the time you create them. A card with no owner won't send any reminders.

Snooze

Not the right time? Click Snooze and pick 1 week, 2 weeks, 1 month or a date. The card is tucked away and you get a notification when it wakes up. Click the count in a column header to see snoozed cards or Wake now.

Hand off to onboarding

When they say yes:

  1. Drag the card to Handed off, or click Hand off to onboarding on the card.
  2. Make sure the right person is linked. For a new contact, match them to a person or tick Not in the system yet to create them.
  3. Pick the Onboarding workflow.
  4. Click Confirm handoff.

They move to the Onboarding board on the first step, with their owner, tags and target spot. Your notes and calls are copied to their record. The card moves to Closed.

If the ministry has no workflow yet, build one first. See Onboarding workflows.

Close a prospect

  • Not now or Declined moves the card to Closed. Click Reopen to bring it back.
  • Delete removes the prospect and their recruiting history for good.

Switch to Closed at the top to see handed off, declined and not now cards.
