Email settings

Choose the name families see on emails from Ministry Toolkit, where their replies go and, if you want, send from your church's own email address.

Go to your avatar > Workspace Settings > Email.

Name and reply address

  • Your church or ministry name is what shows in the inbox, followed by "via Ministry Toolkit".
  • Where do replies go? is the inbox that gets replies. Use a real inbox someone checks.

The preview under How families will see it shows what a family will see. Click Save Email Settings when you're done.

Each ministry can use its own name and reply address. See Ministries.

Test mode

While Test mode is on, every email goes to your Test inbox instead of to families. This lets you try reminders and confirmations without anyone getting them.

Test mode is on when a workspace is new. Turn it off and click Save Email Settings when you're ready for real emails to go out.

Click Send a test email to check your test inbox is right.

Send from your church's email address

By default, emails come from a shared Ministry Toolkit address. Sending from your own address (like [email protected]) looks more trustworthy and lands in spam less often. You'll need whoever manages your church's domain or website to add a few DNS records.

  1. Under Send From Your Church's Email Address, type the address you want to send from and click Continue.
  2. Click Copy Email for IT or Open Email Draft to send the records to your IT person. The records are also listed on the page.
  3. Once they've added them, click I've added the records, check now.
  4. When it says Verified, you're done. Emails now come from your address with no "via" tag.

DNS changes can take a few hours to show up. If it says Verification failed, wait and check again before changing anything.

To go back to the shared address, click Remove this domain.

Common questions

Families say they never got an email. First, make sure Test mode is off. Then ask them to check spam. Sending from your own verified domain helps the most with spam.

Invite and password reset emails for staff go to spam. Those come from the sign-in system, not these settings. Ask the person to check spam, or use Copy invite link under Users.
