A Ministry Leader leads specific ministries. If you give someone the Ministry Leader role but don't pick any ministries, they end up with the same access as a Member.

Add a user

  1. Click Add User.
  2. Enter their Full Name and Email.
  3. Pick a Role.
  4. Pick their Ministries. (Administrators see every ministry, so this is hidden for them.)
  5. Pick their App Access. Every tool is ticked to start. Untick anything they don't need. Grayed out tools aren't turned on for your church.
  6. Click Add User.

They get an email with a link to set their password. If they already have a Ministry Toolkit login from another church, no email is sent. They can sign in with their existing password right away.

New Administrators are automatically added as leaders of every ministry.

Resend an invite

People who haven't signed in yet show Invite not yet accepted. You have two options:

  • Resend email sends the invite again.
  • Copy invite link copies the link so you can text or email it yourself. Handy when invite emails keep landing in spam.

Change someone's access

Click the pencil next to a person. You can change their Role, add or remove Ministries and turn App Access tools on or off. Changes save right away.

You can't edit your own row. Ask another Administrator.

Directory record

This links the login to the person's record in your church directory. The Serve phone app uses it to know who they are. It's usually set up automatically the first time they open the app.

If a staff member ends up with a second, duplicate record, click Change, search for their real record and pick it. Then clean up the duplicate in Unmatched People.

Remove a user

Click the pencil, then Remove user, then confirm. They lose access to this workspace right away. If this was the only workspace they belonged to, their login is deleted too.

You can't remove yourself, and only the workspace owner can remove another owner.

Common questions

Someone can't see a tool. Check three things, in order:

  1. The tool is turned on for your church in Plans & billing.
  2. The tool is ticked in their App Access.
  3. If the tool's page says "This tool is not yet enabled for your workspace", it's step 1.

A leader can't see a tool's Settings page. They need to be a Ministry Leader (not a Member), and the ministry switcher needs to be set to a ministry they lead.

Someone can't see a ministry. Add it to their Ministries. If they only have one ministry, the ministry switcher is hidden on purpose.

Is Member read-only? No. Members can work inside the tools they have access to. They just can't open settings pages or Workspace Settings.
